Users Can Now Buy AI Add-ons in Workspace
The days of waiting for IT approval to unlock advanced AI power are ending. Google Workspace announced a major shift in its licensing model: User-Initiated Purchases.
This new capability allows motivated employees to bypass procurement bottlenecks and purchase their own advanced AI add-ons directly, starting with the AI Expanded Access add-on. This is specifically designed for power users who hit their usage limits in tools like Gemini, NotebookLM, or Google Vids and want to keep working without delay.
1. How it Works for the End User
When an eligible user reaches the usage limit for a specific AI feature (like generating too many AI avatars in Vids or long-form tracks in Lyria), they will see an in-product prompt to upgrade.
- Direct Purchase: Users can click the prompt and pay for the AI Expanded Access add-on using their own personal payment method and an individual billing account.
- Instant Activation: Once the purchase is complete, the higher usage limits are applied immediately to their company Workspace account.
- Subscription Management: Users can manage their own subscriptions at workspace.google.com/individual/user/manage.
2. Admins Retain the "Kill Switch."
While this feature empowers users, Google has ensured that IT administrators remain in the driver's seat:
- ON by Default: The feature is enabled by default for eligible domains, but admins can disable it at the domain, Organizational Unit (OU), or group level.
- Visibility: Admins can see exactly which users have purchased their own subscriptions via the Admin console.
- Cancellation Rights: Administrators have the power to cancel any user-purchased subscription if it conflicts with company policy.
- Strategic Insights: Seeing which users are willing to pay for AI out-of-pocket can help central teams make better long-term licensing decisions for the whole company.
3. The First Offering: AI Expanded Access
The pilot for this program focuses on the AI Expanded Access add-on, which unlocks:
- Higher Usage Limits: More capacity in the Gemini app and NotebookLM.
- Advanced Creative Tools: Increased access to Veo 3 video generation and Avatar creation in Google Vids.
4. Availability & Rollout
- Initial Launch: Starting April 7, 2026, for users in the United States and Canada.
- Eligible Editions: Users with Business Standard or Business Plus licenses.
- Exclusions: Currently not available for customers who purchase through resale partners, offline order forms, or those outside of North America. (Admins in these regions must still handle purchases manually.)
- Future Expansion: Google plans to expand this capability to more regions and editions in the coming months.
